Our DEPARTMENT OF PSYCHIATRY & BEHAVIORAL SCIENCES has an outstanding opportunity for a TEMPORARY FISCAL SPECIALIST 1 .
Under the direction of the Finance Manager, provides payroll
processing for the Department of Neurology and Department of
Psychiatry & Behavioral Sciences, to ensure that all employees are
hired and paid timely and correctly. This position will process
payroll semi-monthly for faculty, staff, and student employees, and
apply financial best practices in the performance of data analysis and
processing, record-keeping, and other types of payroll and operational
supp! ort. There are approximately 400 faculty, 425 staff and 176
students and trainees.
POSITION COMPLEXITIES:
About 1000 people are paid each payday with an average number of
distributions each of 4.2. In order to meet compliance standards;
reduce audit risks, after the fact salary changes, over and under
payments and make sure the distribution lines are charged to the
correct budgets this position has to navigate many complex systems and
policies.
ESSENTIAL FUNCTIONS and MAJOR RESPONSIBILITIES:
80% Payroll
- Coordinate, prepare, and process payroll appointment and
residents, stipend, and hourly employees. This includes contacting
supervisors, managers, principal investigators and others about salary
distributions.
- Submit bi-monthly ETRs and PTRs after determining that the
- Request for emergency checks, submit late pay requests to UW
- Monitor leave without pay, 1050 rule balances, and work study
is coming to an end or the employee's time is approaching the limit.
- Process fee based, student fixed fee, excess compensation
- Oversee the distribution, review, and completion of the
- Create and/or modify online UW Timesheet for temporary hourly
and train the supervisor, as needed.
- Audit Online Work Leave System (OWLS) records.
- Backup for Leave Management Coordinator.
- Follow ! up with non-resident aliens work authorization extension
- Conta! ct employees for missing I-9 and social security card
- Assist new employees with getting set up on the payroll and

- Maintain data and file management system of the unit.
- Using the Unit database, OPUS, OWLS or other systems, respond to
entire departments workforce.
Requirements:
Three years of fiscal record keeping experience, or equivalent
education/experience.
Additional Requirements:
- Experience with UW Payroll processing.
- Ability to work with diverse people with tact and diplomacy,
confidentiality.
- Excellent attention to detail.
- Superior t! ime management skills.
- Ability to work both independently and collaboratively.
- Excellent written, verbal and interpersonal communication
- Proficiency with Microsoft Word, Excel and Access
- Ability to prioritize work and multi-task.
- Ability to maintain focus while dealing with interruptions while
- Experience working in team settings.
- University of Washington payroll processing experience (FIN,
OWLS, and ETR/PTRs).
- Proficiency with Microsoft Access
A satisfactory outcome from a criminal background verification will be required prior to hire.
