The Department of Psychiatry & Behavioral Sciences currently has an outstanding opportunity for a part-time Human Resources Compliance Administrator . This individual will provide leadership and support in the critical areas of professional development and compliance training, faculty promotions, new employee onboarding and orie! ntation, and employee separation and offboarding for the Department of Psychiatry and Behavioral Sciences and the Department of Neurology in the School of Medicine. These duties have been covered on a temporary basis for the last few years and have grown to such a level the department is making an investment in a permanent position.

DUTIES AND RESPONSIBILITIES:
Professional Development and Compliance Training

  • Manage the communication, tracking system, and records for the required annual compliance trainings for faculty and staff.
  • Research audit standards and review the ethical and regulatory guidelines related to compliance in human resources related areas including but not limited to HIPAA, Asbestos, Ethics, and other workplace violence prevention and safety.
  • Perform as the departmental expert and resource for U! niversity of Washington, State, and Federal policies and practices.
  • Provide consultation and assistance about regulatory, ethical, and methodological issues via phone, email, and in-person meetings to a wide array of faculty, staff, and students.
  • Prepare and disseminate written materials and provide information to be posted on the department intranet.
  • Identify relevant opportunities for department faculty and staff professional development. Advise supervisors and employees on appropriate professional development options and expand the opportunities both formal and informal currently provided by the department.
Faculty Promotions

  • Coordinate with and advise faculty candidates on preparation of materials for review by the Department Promotion Committee, the Department Chair, Department faculty, School of Medicine faculty and Dean, and Provost’s Office.
  • Review materials to determine whether they meet the University of Washington and School of Medicine guidelines. Ensure that applic! ation packets are complete before the various review bodies see the files.
  • Manage communication with the variety of individuals associated with the promotions process, including faculty from other universities, faculty in the department and other departments within the University of Washington, service chiefs, and the School of Medicine’s faculty promotions coordinator. Provide guidance on interpretation of the guidelines, policies, and procedures and
ensure reviewers have the appropriate information to assess candidates for promotion.

New Employee Onboarding and Orientation

  • Design, implement, and provide oversight for the new employee onboarding process for faculty and staff.
  • Develop standard practices, policies, procedures, forms, and other materials in support of the onboarding process to ensure supervisors are supporting new employees in the best possible way.
  • Design, implement, and provide oversight for! a new employee orientation for the departments.
Employee Se! paration and Offboarding

  • Design, implement and provide oversight for the exiting or offboarding process for faculty and staff.
  • Develop standard practices, policies, procedures, forms, and other materials in support of the exiting process to ensure supervisors are meeting UW regulatory guidelines.
Other duties as assigned.

This position will not directly supervise staff, but will direct the work of student staff and provide input related to hiring decisions.

Requirements:
Bachelor's Degree in Public Administration, Social Sciences, Human Resources or other related field.

  • At least 2 years of prior experience with UW systems, policies, and procedures.
  • Experience working in an environment with both academic! and clinical aspects.
  • The ability to work with a diverse group of individuals with differing levels of education, experience, and skill levels.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

Desired:
At least 4 years of prior experience developing and managing training programs.

Familiarity with Lean/Six Sigma process improvement methodologies.

Condition of Employment:
Faculty and staff in the Department of Psychiatry and Behavioral Sciences and Department of Neurology are located at sites across the Puget Sound. Some travel to these sites may be required.

This position will occasionally be required to work outside normal business hours.

Appointment to this position is contingent upon obtaining satisfactory results from a criminal background check.
