The Department of Neurology offers comprehensive consulta! tion, evaluation and treatment services for adults and childre! n with neurological disorders, through its clinical facilities at the University of Washington Medical Center, Harborview Medical Center, Northwest Hospital and Medical Center, VA Puget Sound Health Care System and Seattle Children's Hospital and Regional Medical Center. Through our commitment to research, we continue to gain insight and understanding into the normal and abnormal functions of the human nervous system and how to care for related disorders. We are then able to share the knowledge gained and results of this research with our colleagues at the University, across the nation, and around the world. The Neurology Clerkship and Residency Training Programs represent significant foci of the Department's efforts. The Departmnet of Neurology has an outstanding opportunity for an Administrative Assistant A. The individual in this position will Provide administrative support to the Director of the Department of Neurology and the Department of Psychiatry and Behavioral Sciences. Represent the director’s goals and interests and coordinate administrative functions including; Continuing Medical Education Programs, the Neurology Clerkship Training Program, general office workflow, and Academic Appointments. Demonstrate initiative with minimal supervision and exercise excellent problem solving skills in a complex and fast-paced office environment. Exercise judgment to solve unusual administrative problems consistent with the objectives and policies of the Department.

Duties and Responsibilities:
Manage Continuing Medical Education Programs

  • Strategically plan Grand Rounds and other seminars and present these plans to faculty a! dvisors of both departments.
  • Market events to department facul! ty, students, and outside physicians by creating brochures and web materials.
  • Manage and track the completion of the School of Medicine’s CME requirements and submit complex CME applications and work with the CME Office to troubleshoot any problems.
  • Manage CME conference schedules in MedHUBâ€"pull attendance reports, manage attending and resident lists
  • Work with Joomla platform to update conference information on department website
  • Establish timelines and deadlines for events and be persuasive to ensure they are met. Event planning is an important component of the job and the coordinator will be expected to execute the events with precise attention to detail for scheduling, catering, and other logistics. Present a professional appearance at events and represent the faculty advisors to participants and the public.
  • The position will need to host VIP speakers, arrange for travel, edit presentations, and setup for lectures.
  • Work across departments and institutions to set-up accredited CME satellite sites
  • Manage attendance virtual attendance reports in Joomla for participants who view webcast version of CME lectures
  • Troubleshoot technical issues in Joomla for remote viewers and satellite locations
  • Apply for grants to raise funds for seminars and lecture series.
Independently manage the budget and allocate resources as necessary.

  • Maintain the SharePoint database, website, email lists, and paper files.
Neurology Clerkship Training Program support

  • For the Department of Neurology, coordinate, arrange, and track student placement, proctor the examinations, collect evaluations from the on-site physician and submit the final grades to the School of Medicine according to established deadlines.
  • This position reports to the departmental Education Specialist who oversees the program and to the Clerkship Directo! r for the program.
  • Work with E*Value database to enter student! grades, update clerkship schedules and pull reports
  • Work with VSAS database to examine visiting student applications; work closely with director to schedule students and determine if space if available
Manage general workflow of the Neurology front office

  • Assist visitors; handle mail and deliveries;
  • Direct phone calls from patients, faculty, staff and public to proper person or office;
  • Order medical charts when requested;
  • Schedule Library/Conference Room for department and other groups;
  • Order general supplies for staff through PurchasePath;
  • Track HIPAA training for staff and new hires;
Academic Appointments support

  • Gather and review documents for completeness to be submitted in Academic Appointment and Promotion packets. File documents or scan them and file them electronically, whichever is appropriate for the specific project.
  • Assist editorial assistant! with managing and tracking manuscripts in ScholarOne database

Requirements:
High School graduation or equivalent AND four years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work OR equivalent education/experience.

ADDITIONAL REQUIREMENTS:
Strong knowledge of website platforms, including Joomla and Dreamweaver Ability to quickly navigate MedHUB, E*Value, VSAS and ScholarOne database to obtain time sensitive information

Desired:
Bachelor’s degree in Communications, Psychology, or social services
