DUTIES:
The incumbent will serve as an Advanced Medical Support Assistant. The incumbent is assigned to the Mount Vernon Community Based Outpatient Clincic (CBOC) Mental Health program, Mental Service Line at VA Puget Sound Health Care System (VAPSHCS). The incumbent is responsible for performing a variety of technical support duties that facilitate the work of an interdisciplinary clinical team (physician/psychiatrists, psychiatric nurse practitioners, psychologists, registered nurses, social workers, therapists, and interdisciplinary trainees) who provide direct patient! care to our Veterans. The Medical Support Assistant (MSA) provides tra! ditional outpatient MSA tasks, in addition to clerical support for either the Coordinated Care Home Telehealth (CCHT) program and/or Telemental Health program (TMH).

The Advanced Medical Support Assistant independently manages position responsibilities without the need for supervisory intervention/input, and independently sets priorities and deadlines, adjusting the flow and sequencing of the work to meet team and patient needs. The position typically has responsibility for the overall coordination of clinic cancellations, clinic schedules (including appointment scheduling and changes), and arrangements for special studies. The incumbent provides clinic operational support to the clinic manager in an effort to control and stabilize workload and reports any fluctuation. The Advanced Medical Support Assistant participates in the daily team huddles and weekly team meetings where patient care planning and management occur.

Coordinated Care Home Telehealth (CCH! T) duties include but are not limited to:

  • Collect, compile and/or track statistical information in support of program operations and to access status or outcomes in relation to established performance measures, goals and objectives as it relates to the Mental Health CCHT program.
  • Receives and processes documents and reports in accordance with established procedures.
  • Uses software applications to draw information from a wide variety of sources in order to prepare reports.
  • Implements nationally standardized protocols for incoming data.
  • Organizes and maintains patient data and retrieves a variety of computerized data.
  • Keeps team members apprised of patient census and any changes/problems that might be encountered.
  • Must attain basic competencies in operation of the CCHT equipment to assist in troubleshooting problems for patients, answering questions for patient/staff/customers, and supporting the team memb! ers.
Telemental Health (TMH) duties include but are not l! imited to:

  • Refers to Veterans Health Administration (VHA) directives concerning TMH activities to determine special training and/or credentialing and privileging requirements for clinicians, which in part depends on the patient site and provider site, and the type of service provided (treatment versus consultation).
  • Provides written competency materials and provides in-person, general education about how to operate the equipment for new providers.
  • Ensures that the completion of competency materials is documented.
  • Analyze and solve problems in a positive, goal-oriented manner and to make clear, well defined recommendations.

: Monday - Friday, 8:00am - 4:30pm

QUALIFICATIONS REQUIRED:
BASIC REQUIREMENTS:
U.S. citizenship Experience/Education - Six months experience of clerical, offic! e or other work that indicates the ability to acquire the particular knowledge and skills needed to perform the duties of this position;

OR

one year above high school;

OR

equivalent combination of experience and education are qualifying for entry level which both education and experience are acceptable.

Physical standards - All applicants must meet the physical standards for the position.

Must be proficient in spoken and written English.

GRADE REQUIREMENTS

: Experience - One year of experience equivalent to the GS-5 grade level. Experience that may be qualifying includes scheduling, canceling, and rescheduling appointments, interpreting and verifying provider orders, entering no-show information, preparing for clinic visits, monitoring both inpatient and outpatient appointments for areas of responsibility, ensuring forms are completed in order to obtain appropriate workload credit, verifying and updatin! g demographics and insurance information, processing all emergency and ! non-emergency transfers to other facilities or hospitals, and determining basic eligibility, co-pays and preauthorization requirements for specific coverage.

Advanced knowledge of the technical health care process as it relates to access to care.

4.

Advanced knowledge of! managing a clinic. This includes independently utilizing reference sources, decision making, and empowering the team to collaborate and resolve problems within a complex systems environment.

5.

Advanced knowledge of policies and procedures associated with operational activities that affect the patient flow, patient care, and the revenue process.

6.

Advanced knowledge of medical terminology due to the technical nature of language utilized by clinicians.
