What You'll Do:
The documentation and funding specialist is responsible for all aspects of the Documentation Administration function, to include precursory data input for documentation and funding preparation. The main tasks include data entry, file maintenance and organization, stipulation tracking and review, title package submittal, setting up wires to vendors and communicating with various departments.

Job Duties

  • Prepares documentation and funding packages
  • Updates sales and vendors on outstanding stipulations
  • Prioritizes work flow based on daily doc due times, funding cut offs and month end priorities
  • Ensures files are properly prepared and free of duplications
  • Ensures all credit approvals and documentation are properly executed and signed off
  • Reviews of data received for accuracy
  • Inputs data into Aurora/Salesforce on active transactions
  • Performs other tasks as required
  • Assists in other documentation and funding areas, filing and scanning
  • Communicates with various departments on status of files
  • Communicates with customers and dealers as needed
  • Familiarizes self on Crossroads documentation package along with formal training
Data Entry/Preliminary File Review Duties

  • Works in Aurora/Salesforce to prep files for documentation
  • Reviews files for accuracy and completion coming from credit department
Documentation/Closing Preparation Duties

  • Prepares and processes lease and retail contracts and supporting documents
  • Reviews executed lease and retail documents for completeness and accuracy for funding
  • Reviews and follows-up for stipulations to ensure compliance
  • Prepares and submits funding documentation
  • Understands basic grant and loan programs offered by state
  • Interfaces with other departments and business partners
Stipulation Tracking and Review Duties

  • Reviews of stipulations that come in from Sales and/or Dealers
  • Inputs data into Aurora/Salesforce for completed stipulations
  • Works with management on obtaining documentation of requested waivers for file compliance
  • Reports & follows up with sales team, vendors & outside parties for outstanding stipulation items
Special Accountability

  • Ensures that internal controls are properly instituted.
  • Ensures that internal controls are properly exercised
  • Ensures compliance to all jurisdictional/regulatory requirements
  • Produces a high caliber of work with a minimal error rate
Skills and Qualifications

  • B.A. recommended but not required
  • Minimum of two (2) years previous documentation work experience required
  • Transportation/Commercial vehicle lending experience recommended but not required
  • Ability to multi-task
  • Ability to take directions from multiple sources
  • Excellent verbal and written communication skills
  • Effectively reacts to Executive Management requirements in a timely manner
  • Strong Microsoft Word and excel software use
  • Proactive, hands-on attitude
  • Attention to detail, emphasis on accuracy and strong sense of urgency
Compensation:
$27 - $34 per hour depending on experience.
