Payroll and Accounts Specialist [United States]


 

The role of the Payroll Account Specialist involves providing financial, administrative, and clerical support to the organization. This person completes payroll, controls expenses, and processes invoices. This person is responsible for holding vendors accountable to contracts and ensuring every employee is paid on time and correctly.


REQUIREMENTS

  • End of Month:
  • Assemble and mail Month End package

    Scan and file all invoices into restaurant database
  • Send out all checks
  • Communicate accounting notes to Executive Directors, Operator and CFA Support Center Accountant on a weekly basis
  • Accounts Receivables/Payables:
  • Audit invoices to ensure accuracy before payment
  • Payment of all invoices
  • Timely receipt of all outstanding balances
  • Ensure proper credits for missing products
  • Resolve vendor disputes/billing discrepancies
  • Maintain effective communication with accounting and treasury
  • Budget Tracking:
  • Update budget spreadsheets weekly and communicate with Executive Directors budget variances
  • Approve all expenses including paid outs, facilities services, etc.
  • Communicate all accounting notes to CFA Support Center accountant
  • Track and communicate remaining team member benefits budgets each month for managers and above to ensure they use their benefits in a timely manner and do not overspend
  • Payroll:
  • Systematically review time punches to ensure compliance and keep appropriate documentation
  • Provide accountability to team for failure to record time in accordance to labor law requirements
  • Submit payroll bi-weekly; checks must be available to team members no later than Friday at 2 p.m.
  • Conduct exception pay/separate bonus checks/wage increases/etc.
  • Manage PSL, PTO and Vacation Pay, including updating and posting the PSL balance accrual report
  • Update Direct Deposit Information
  • Qualifications:
  • Excellent customer service, business management and administrative skills sufficient to speak with and write to people of various social, cultural, economic, and ethnic backgrounds to develop effective working relationships and resolve problems
  • Strong ability to apply constructive feedback and work well under pressure
