The Departments of Neurology and Psychiatry & Behavioral Sciences currently has an outstanding opportunity for an Assistant to the Director . This individual will support the Director of Finance and Administration and represents him with the leadership and staff within the University of Washington, School of Medicine, Hospitals, WWAMI Region a! nd the Public. This position is focused on independently managing projects to completion with general goals, deadlines and the purpose outlined. This is a very political environment and this position has to understand the opportunities and constraints in order to be successful. The types of projects include but are not limited to working closely with the hospitals in establishing new clinics at various sites; liaison on behalf of the Director to develop and test a novel model for administrative service delivery; establishing and rolling out start-up agreements for new faculty or bridging agreements for faculty whose funding changes; learning the needs and intricacies of each Center, Institute and Program in the Departments in order to represent requests accurately to the Director and relay information to those groups effectively. Communicating clearly, concisely, and professionally is essential.

In the absence of the Assistant to the Chair provides similar responsi! bilities for the Chair, Vice Chair and other faculty leadership in the ! Department of Psychiatry.

DUTIES AND RESPONSIBILITIES:
Project Support to Director

The Director is engaged in many projects at any given time. These include such diverse areas as establishing a new institute that will support specific research aims for the University; participating on a hospital merger focusing on the potential and realization of new clinics for Psychiatry and Neurology Departments; developing a unique model for providing excellent administrative services to a wider customer base at the same time reducing compliance and audit risks and providing leadership and oversight to all the clinical, research and academic units within the Departments.

With an understanding of the goals and deadlines, this position is assigned sections of any of these projects, for instance:

  • Does a preliminary needs assessment with the Clinic Director or other key stakeholders prior to the Director meeting with hospital personnel! .
  • Attends ongoing meetings with stakeholders and keeps track of the decisions and analysis provided over time to make sure that the final outcomes reflect the actual needs and communicates the results to the Director.
  • Prepares alternative scenarios of a situation for analysis and discussion with the Director to determine the best course of action.
  • Learns about the stakeholders to assist with clarifying where political or pragmatic roadblocks may occur.
  • Plans and participates in special projects in the areas of development, human subjects applications, grants, department website, data management, materials for distribution to the public and other areas.
  • Plans and executes departmental events.
Support for Faculty Affairs

  • Is a member of the Human Resources Service Team responsible for providing excellent service to our faculty and for playing a key role in the continuous improvement of department human r! esources policies and procedures.
  • Serves as primary contact an! d specialist on new faculty appointments for regular or research faculty, paid clinical faculty, lecturers and senior fellows. Typical duties include writing text for advertisements, preparation of offer letters, completion of hiring paperwork, onboarding of new faculty, and coordination and collaboration with the School of Medicine’s Dean’s Office.
  • Assists with the onboarding of new faculty in the Health Sciences Building.
  • Once space is negotiated, works with the faculty and research or other staff to determine remodeling, upgrading and/or specific equipment needs and performs as the project manager in the event UW or outside contractors are required.
Executive Administrative Support for the Director

  • Manages the Director’s calendar, schedules meetings, maintains contacts, and coordinates projects and travel.
  • Serves as the primary representative of Director to Department and School of Medicine faculty.
  • R! ecords and distributes meeting minutes and agendas.
  • Drafts and edits correspondence and other written materials to grant agencies, donors, SOM leaders and the public.
  • Establishes the complex Administrative Service Team meeting schedule annually and adjust as necessary throughout the year.
LEAD RESPONSIBILITIES:
Oversees the work of student assistants and temporary hourly employees.

REQUIREMENTS:
Bachelor’s Degree in Business or Public Administration, Social Sciences, Communication or other related field.

Must have at least two years of experience assisting an executive and have the following attributes, experience and skills:

  • Enthusiastic about contributing to the department's mission and goals
  • Adap! table to ever changing priorities
  • Strong work ethic as well as! critical thinking and problem-solving skills
  • Have high standards for producing quality work
  • Intermediate level proficiency and experience with Excel, Word, Adobe Acrobat, Access and PowerPoint

  • Ability to work with multiple projects and stakeholders simultaneously
  • Develop and maintain productive working relationships with a wide variety of individuals while maintaining a customer service orientation
  • Willingness to communicate issues clearly
  • Ability to prepare and maintain confidential information
  • Well-honed organizational and planning skills
  • Successfully work as part of a team and contribute to process efficiencies, and improvements
  • Effectively independently self-directed with limited instruction
Equivalent education/experience will substitute for all minimum qualifications except when there are legal r! equirements, such as a license/certification/registration.
